Email and Microsoft 365
Why “recall this message” usually does not work
You pressed send and immediately saw the mistake. The recall button looks like a way out.

The short version
Outlook's recall button only works in narrow situations. Here is what it can and cannot do, and what to do instead.
What recall can do
In Outlook, recall tries to delete a message you sent from the recipient’s mailbox. It works only when the recipient is in your own organization’s Microsoft 365. Even then, depending on settings, it may fail if the message has already been read.
What it cannot do
- Messages sent outside your company cannot be recalled. Once an email reaches another company’s server, it is out of your hands.
- Recipients may be told that you tried to recall the message, which often makes them read it more carefully.
- Phones and other email apps may have already downloaded it.
What to do instead
- If it was a small mistake, send a short correction. Most people appreciate it more than a recall notice.
- If something sensitive went to the wrong person, call them, explain, and ask them to delete it. Most people will. Then tell your manager or IT, especially if it included personal or financial information.
- If an attachment had the wrong permissions, and it was a link to a file in OneDrive or SharePoint, change the sharing on the file. That does work after sending.
Prevent the next one
Set a short send delay in Outlook so messages wait a minute before they go. It gives you time to catch the mistake and pull the message back from your outbox.
