Email and Microsoft 365

Sharing your calendar without oversharing

A shared calendar saves a lot of back and forth. It can also show more than you meant to.

The short version

Calendar sharing lets colleagues find a time to meet. A few settings decide whether they see only free and busy times or every detail.

What others can see

In Microsoft 365, people inside your organization can usually see when you are free or busy by default. You can share more, or less, with specific people:

  • Can view when I’m busy. Times only, no details.
  • Can view titles and locations. Enough to know what you are doing and where.
  • Can view all details. Everything in each appointment, including notes and attachments.
  • Can edit. They can add and change appointments.
  • Delegate. They can also accept or decline meetings for you.

Tips

  • Mark personal appointments as private. Private items show as busy without details, even to people who can see your full calendar.
  • Think about what is in meeting notes. Dial-in details, client names and attachments are visible to anyone with full detail access.
  • Be careful sharing outside the company. Sharing a calendar with someone outside your organization, or publishing it with a link, can expose more than you expect. Free and busy only is usually enough.
  • Use scheduling tools. For meeting outside people, a booking page or the Scheduling Assistant lets them pick a time without seeing your calendar.
