The business side of IT

Getting a new hire ready for day one

Few things make a worse first impression than a new hire sitting with nothing to do while their laptop is set up.

The short version

A new hire with a working laptop, accounts and access on their first morning starts on the right foot. Here is what to arrange.

As soon as the offer is accepted

Tell your IT team:

  • Name, role, start date and manager.
  • Who they will work with, so they get the right Teams, shared folders and mailboxes.
  • Which applications they need beyond the standard set.
  • Equipment: laptop, monitors, phone, headset.
  • Where they will work: office, home or both.

Ordering a laptop can take time, so earlier is better.

Before the first day

  • Computer set up from your business’s standard, encrypted and updated.
  • Microsoft 365 account and license created, with the right groups and shared mailboxes.
  • Access to the applications and folders for the role, and nothing extra.
  • Multi-factor authentication ready to set up on day one.
  • Added to the password manager and any shared folders in it.

On the first day

  • Set up multi-factor authentication together.
  • Show them how to get IT help and where to find files.
  • Point them to security awareness training.

Make it repeatable

Write the steps down once, by role. The next hire, and the next departure, will take a fraction of the effort.
