The business side of IT

Why you need a list of every device and account

How many laptops does the business own? Which ones are out of warranty? Who has the admin login for the website? An inventory answers these in seconds.

The short version

An up-to-date list of your computers, network equipment, software and accounts makes support, security, budgeting and audits much easier.

What to include

Hardware

  • Computers, laptops and tablets: model, serial number, who uses it, purchase date and warranty end
  • Servers, firewalls, switches, Wi-Fi access points and printers
  • Phones and mobile devices

Software and services

  • Business software, licenses and renewal dates
  • Cloud services and subscriptions, and what each one costs

Accounts and ownership

  • Domain names and where they are registered
  • Website hosting
  • Internet and phone providers, with account numbers
  • Which company account owns each service

Why it helps

  • Security. You cannot protect a device you do not know about.
  • Leavers. You can collect every device and close every account.
  • Budgeting. You can see which computers are due for replacement and plan for it.
  • Renewals. No surprise charges or lapsed domains.
  • Support. IT can find the right device and history quickly.
  • Insurance and claims. You have a record of what you owned.

Keep it current

An inventory goes stale fast. Update it whenever equipment is bought, moved, reassigned or retired. Managed IT tools can collect much of it automatically.
